An exciting opportunity has arisen to join a large, locally based company in Malvern in a Part time receptionist role.

The role:

The purpose of the role is to provide a professional interface between telephone callers, visitors and employees of the company. Responsibilities include:

- Receive all incoming telephone calls in a professional manner, identify callers needs and transfer them to the most appropriate person with the minimum delay.

- Take accurate and complete messages when unable to effect connections and pass on the information to the relevant personnel with the minimum of delay.

- Receive visitors in a welcoming and professional manner and ensure that the Company\'s Security and Health and Safety requirements are met.

- Issue visitor badges

- When requested, enter visitor details on Welcome Board.

- Operate security barrier, ensuring visitors are who they say they are.

- Issue security swipe cards to employees.

- When requested, issue WiFi connections.

- Ensure reception area is kept clean and tidy.

- Receive all incoming post and facsimiles, sort into departmental categories ready for collection.

- Remind staff, when appropriate, that important/urgent faxes are awaiting collection.

- Receive outgoing fax documents, organise their transmission and return documents to their originator.

- Assist HR and Finance as and when required (separate list of duties attached)

- Undertake word-processing and general office duties for other departments as and when required

This is a part-time role, working 1.30pm-5.30pm monday to friday, on a job share basis so we are looking for someone with the flexibility to also cover holidays and sickness.

The person:

You will need to have previous experience in a Reception role and a professional telephone manner. Other key skills and experience include excellent telephone/communication skills, experience of general office administration and use of office equipment, good IT skills including competency with Microsoft Office. You will also need to demonstrate discretion, tact and diplomacy
